Our role when providing services to customers
When ZelquVoice provides an intelligent virtual receptionist service to a business, that business will normally determine why and how its callers’ personal information is used.
Depending on the particular arrangement, ZelquVoice may act as a data controller or as a data processor acting on instructions from the customer. Our technology provider, HoyCall Ltd, may process personal information on our behalf as a processor or sub-processor.
Who we share information with
We only share personal information where necessary to operate our business and provide our services.
This may include service providers involved in hosting, telecommunications, AI processing, speech recognition, call recording, messaging, calendar integration, email, CRM and data storage.
Our principal technology provider is HoyCall Ltd. Its approved technology providers may include:
- ElevenLabs – conversational voice and speech processing
- Twilio – telephone numbers, call routing, call recording and SMS
- Google Cloud – database, authentication and file storage
- Amazon Web Services – security services and transactional email
- OpenAI – post-call transcript summarisation and conversation analysis
- Whapi – WhatsApp functionality where this service is specifically enabled
Some integrations, such as Microsoft 365, Google Workspace, calendar systems or CRM systems, may also process information where they are connected by a customer.
International data transfers
Some of our service providers may process personal information outside the United Kingdom, including in the United States and European Economic Area.
Where personal data is transferred internationally, appropriate safeguards are used in accordance with UK data protection law. These may include UK adequacy regulations, the UK Extension to the EU-US Data Privacy Framework, the UK International Data Transfer Agreement or the UK International Data Transfer Addendum.
How long we keep your information
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including legal, regulatory, contractual, accounting and security requirements.
Call recordings and transcripts used through the ZelquVoice platform may have a configurable retention period. Where no alternative retention period has been configured, the underlying platform currently applies a default retention period of up to 12 months.
Customer, enquiry and business records may be kept for longer where reasonably necessary for contractual, accounting, legal or legitimate business purposes.
